Marketing Fulfillment Services Planned Around Your In-Hand Date

KSP stores, builds and ships marketing programs for brand and marketing ops teams: trade show and event kits, rep and new-hire kits, launch mailers, swag and printed literature. We plan every program around the date it has to be in hand, then set the build and ship dates from there.

What Is Marketing Fulfillment?

Marketing fulfillment is storing a company's branded materials (swag, printed collateral, catalogs, display pieces) and building and shipping them to the people who use them: sales reps, regional offices, event teams and prospects who asked for literature. Each shipment has one date that matters: the day it has to be in hand.

It differs from shipping product in three ways. The person ordering is usually inside the company: a rep, an event manager, a regional office. The materials go out of date when the campaign, the price list or the logo changes. And the deadline doesn't move: kits that arrive after the show opens go unused.

We run marketing programs and product orders for your store from the same building, so a launch mailer and the product it announces can draw on one inventory.

A Program Calendar Set From Your In-Hand Date

Every date in a program comes from the day it has to be in hand. Say your show opens on a Tuesday: the kits ship the week before, the build runs before that, and every component has to arrive before the build starts. We set each of those dates with you when the program is booked, so you always know which one matters this week.

  1. Kit Contents Confirmed

You confirm the components, quantities and how each kit is packed. A change after this point becomes a new version of the kit, so old and new versions never get mixed on the build line.

  2. Components Received and Counted

Every component that arrives is counted against the kit's bill of materials and shown in your portal, so we catch a short shipment from your printer or promo supplier at the dock. If a count comes up short or a carton lands late, your account manager tells you which date is at risk, with the count behind it, before the build starts.

  3. Sample Kit Approved

We build one kit, photograph it and send it to you for approval before the run starts. Every kit in the run is then checked against its bill of materials before it's sealed.

  4. Kits Built

We do the kit builds on our kitting floor in the same building that ships them, so nothing travels between a co-packer and the warehouse. Finished kits are staged ahead of the ship date.

  5. Kits Shipped

The ship date is set by transit time to the destination and the carrier service. Ground parcels reach any US address in 1-3 days, and booth freight on pallets goes out by LTL.

  6. In Hand

The show's move-in window, the launch date, a new hire's first day or the store set date. The ship date, the build and the component deadline are all set from it.

Marketing Programs We Build and Ship

Each program has its own orderer, its own recipients and its own deadline. Each card below names who orders it, who receives it and the date it has to arrive by.

  • Trade Show & Event Kits

Ordered by the event team and shipped to the venue or the show's advance warehouse. Due by the show's move-in date.

  • Sales Rep & Field Kits

Standing kits replenished to reps by territory and rebuilt when the quarter's materials change. Due in reps' hands before the next sales kickoff.

  • New-Hire & Onboarding Boxes

One fixed kit per new person, often to a home address. It has to arrive before the first day of work.

  • Launch Mailers & Client Gifts

A recipient list and a send date. Every recipient has to get it inside the same window.

  • Printed Literature & Catalogs

Brochures, spec sheets, catalogs and price books held in stock and sent the day someone asks for them.

  • Swag Storage

Branded apparel, drinkware, bags and giveaways stored by SKU and version in climate-controlled storage, so the next order pulls the current design.

  • Store-Set & POP Kits

Point-of-purchase and display kits built for a retailer's set date. One Target display program reached all 611 stores on time, ahead of installation. See how we ship store-set and POP kits to retail and how display kit builds run on our floor.

Trade Show and Event Deliveries

What we ask for on each show

  1. Delivery Address

The venue or the advance warehouse, whichever the exhibitor kit names.

  2. Move-In Window

The first and last day freight is accepted. The close of that window sets the latest ship date on your calendar.

  3. Booth Number and Labeling Rules

Straight from the exhibitor kit, so every carton carries what the show's crew needs to route it to your booth.

  4. On-Site Contact

The person at the show who signs for the delivery and calls us if a carton is missing.

  5. Parcel or Pallet

A few kits go out by parcel. When the booth ships on pallets, we send LTL for booth freight from our 29 dock doors.

  6. The Return Leg

Leftover materials come back after the show, get counted and go back into stock under their own SKU, so you plan the next show from a real count.

Retire Old Collateral Before It Ships

A brochure never spoils, but it goes out of date the day the price list, the logo or the product spec changes. From then on, every old copy on the shelf is one that can still ship by mistake. We keep each version apart from the day it arrives.

Because our scheduled cycle counts cost you nothing, the leftover number in your portal is a counted number when you decide what to do with the old stock. Each version keeps its own SKU, so a fall order can't pick a spring catalog.

Literature and Catalog Requests

Literature fulfillment starts with a request: a prospect asks for the catalog, a dealer asks for spec sheets, and each piece has to leave the same way every time.

  1. The Request Arrives

Someone fills in your request-a-catalog or send-me-the-brochure form, and the request reaches us as an order through your connected store or a file import.

  2. The Pack Is Built to Spec

A literature pack, such as a cover letter plus the pieces you specify, is assembled to a standing spec, so the hundredth pack matches the first.

  3. It Ships the Same Day

Requests in by 2 PM CST ship the same day, and tracking posts back to your store.

  4. Inserts Ride With Product Orders

A catalog or flyer goes into your ecommerce orders from the same inventory, so literature and product draw on one stock count.

Who Orders: Reps, Offices and Agencies

Once your materials sit in our warehouse, the people who order them still need to see stock and place orders. Here's how each group does it.

  • Reps & Regional Offices

Reps and offices order through your own internal store or ordering system, connected to us. Any platform connects, through our Logiwa WMS or KSP's custom API, and a new connection can be built in as little as a week. Per-person limits, budgets and approvals stay in your system, and we ship what it sends.

  • Marketing Ops

Real-time stock by SKU and version in your portal. One account manager on our floor, with a 2-hour response on any issue. And you're welcome to tour the building and watch your kits being built.

  • Agencies & Promo Distributors

We build to your end client's spec and ship to their recipients. You get first-article photos to forward for sign-off and a receiving count by component, so you can show your client the kit is complete before a single one ships.

When Components Land Late

On most marketing programs, the date that moves is the component date. Printers run behind, promo suppliers short-ship and containers sit in customs, while the show still opens on schedule.

When that happens, we rework the build plan around what has actually landed, and your account manager tells you before the build starts, with the count and the number of complete kits the floor can still build.

611 Target Stores, Four Weeks From Receiving

KSP coordinated with the import company to cross-dock and transport 20 truckloads—more than 800 pallets—to our fulfillment center. We made sure all eight SKUs were on hand so the assembly team could keep moving. When containers were delayed in customs, we arranged hot-shot equipment to prevent downtime. Within four weeks of receiving the product, we had built and prepared all 611 outbound pallets, averaging about 80 cartons each.

All 611 stores received their shipments on time, ahead of the installation schedule, with no damage or shortages. KSP completed the work without securing additional warehouse space or leasing rental trailers.

What Sets the Price of a Marketing Program

Before you sign, we walk you through a sample invoice and your program line by line. These four lines move the number most. For every fee line a 3PL can bill, get our Fulfillment Fee Checklist.

Pieces and steps per kit

Each insert, fold and seal is a step, so a kit with a sleeve and a printed card takes more hands than a bag holding three items.

Storage window and versions

How long stock sits between programs, and how many versions of each piece you keep on the shelf.

Destinations

One venue, 400 home addresses and a dozen regional offices are three different shipping jobs, even with the same kit.

Tight timelines

A component that lands late shortens the build window, and a shorter window puts more people on the line at once. Confirming kit contents early keeps the full build window open.

Marketing Fulfillment FAQ

What is the difference between marketing fulfillment and ecommerce fulfillment?

Marketing fulfillment ships branded materials to people inside or around the company (reps, events, prospects) by a fixed date. Ecommerce fulfillment ships products customers bought. KSP runs both from one building, so launch mailers and store orders can share inventory.

How far ahead of a trade show should kits ship?

Work back from the show's move-in window: transit time for the destination and carrier service, then the build window, then component arrival. Give us the in-hand date and we'll tell you the latest date for each step.

Can our sales reps order kits and literature themselves?

Yes. Reps and offices order through your internal store or ordering system, which connects to us, and stock by SKU and version is visible in your portal. Limits and approvals stay in your system.

Will you connect to our ordering platform?

Yes. Any platform connects, through our Logiwa WMS or KSP's custom API, and a new connection can be built in as little as a week.

What happens to old brochures and swag after a rebrand?

Each version is its own SKU, so the old one comes out of pickable stock when the new one lands. You decide whether to reuse, kit, return or recycle what's left, working from counted numbers.

Do you build swag boxes and new-hire kits?

Yes, on our 50,000 sq ft kitting floor. One sample kit is photographed for your approval before the run, and every kit is checked against its bill of materials.

Can you store our swag between events?

Yes. Swag and printed pieces sit in climate-controlled storage by SKU and version, and our scheduled cycle counts are included at no charge, so the next event draws from real numbers.

What if our printer or promo supplier delivers late?

Components are counted against the kit's bill of materials when they arrive. If one is short or late, your account manager tells you which date is at risk before the build starts, and we rework the build plan around what has landed.

Do you send catalogs to people who request them?

Yes. Requests from your website form reach us as orders and ship from stock with tracking. Requests in by 2 PM CST go out the same day.

Got a Launch or Show Date Your Kits Can't Miss?

Tell us about the program and when it has to be in hand. We'll plan the build around that date and show you what it would cost to store, build and ship at KSP.

  1. Answer five quick questions about what you ship and where you sell, with rough numbers.
  2. A KSP rep gets in touch within 1 business day to set up a short call and hear what you need.
  3. We build a fulfillment plan and a quote around your operation, then walk you through both line by line.

In one Target display program KSP ran, all 611 stores received their shipments on time, ahead of the installation schedule, with no damage or shortages.

No obligation, and nothing to send or prepare.
